A certificate alone does not prove where a material was used. A reliable system links the delivery, batch, inspection, test results and the specific structure or system in which the material was installed.

Minimum traceability chain

  1. Register the delivery and its batch identifier.
  2. Check the accompanying documents and the condition of the material.
  3. Record sampling and test results where applicable.
  4. Identify the actual area or system where the material was used.
  5. Link the record to the acceptance record, as-built drawing and final dossier.

Common breaks in traceability

  • The same material is described differently across registers.
  • The certificate is stored separately and is not linked to the batch.
  • The place of use is not recorded.
  • A test result arrives after the work has been closed out and is never formally addressed.
